We are delighted to be working with a highly regarded Family Office in London to find an exceptional Executive Assistant and operational right-hand to the Principal. This is a rare and high-trust role that goes well beyond traditional EA work, it suits someone who wants to work closely alongside a serious founder and investor, contribute to the work as well as execute it, and build their career within a fast-paced, intellectually stimulating environment.
The Principal runs a Family Office and is actively involved in a portfolio of venture businesses. You will be the person who keeps their world running: managing a complex diary, organising intricate multi-stop travel, handling communications, and ensuring that nothing falls through the cracks. You will also be a genuine thought partner, preparing sharp briefings, tracking deal flow and relationships, and making sure the Principal walks into every room fully prepared.
Key Responsibilities

  • Diary management: run a complex, fast-moving calendar across time zones; protect focus time and keep priorities clear

  • Inbox and gatekeeping: triage and draft responses; surface decisions; keep the Principal one step ahead

  • Travel: organise end-to-end multi-stop international travel; flights, hotels, transfers, visas, contingencies and handle frequent last-minute changes

  • Briefing notes: prepare concise, practical pre-reads for meetings and trips covering purpose, people, context, and desired outcomes

  • Follow-through: capture actions and decisions; maintain a clear action log; chase owners and deadlines so work gets done

  • Stakeholder management: liaise confidently with founders, investors, advisers, and UHNW contacts; represent the office with discretion and good judgement

  • Venture support: track deal flow and relationship pipelines; summarise pitch decks; support meeting preparation and timely follow-ups

  • Commercial awareness: stay engaged with business and technology; bring useful prompts and practical applications when they add value

  • Personal admin: manage personal commitments and occasional events with sensitivity

  • AI tools: use AI day-to-day to draft, summarise, research, and improve speed and clarity - translating tools into simple, effective workflows

The Ideal Candidate

  • 5+ years' experience supporting a UHNWI, founder, investor, or senior executive in a fast-paced environment

  • Sound judgement and the confidence to push back thoughtfully, using clear logic and tact while protecting key relationships

  • Excellent travel planning skills; highly comfortable with regular international travel and last-minute changes

  • Commercial confidence: able to hold a genuine conversation about business and technology and contribute constructively

  • Excellent written English; produces crisp emails and sharp, well-structured briefing notes

  • Highly organised, discreet, and reliable; trusted without reservation with confidential information

  • Strong IT skills across Outlook, Office, and modern productivity tools; quick to learn new systems

  • Genuine interest in AI and how it changes the way businesses operate

You will be worldly, curious, and well-informed, interested in business, technology, and how people behave. Direct, calm, and proactive: you spot problems early and fix them. Comfortable in rooms with senior stakeholders. Hands-on and practical, you do what is needed and follow through.
